Agreement to Terms:
By checking the box below and completing your ticket purchase, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions. You enter into this agreement on behalf of yourself and your heirs, executors, administrators, estate, and assigns.

If you are purchasing tickets for one or more additional guests, you represent and warrant that you have the authority to accept these Terms on their behalf, that you will provide each guest with a copy of these Terms before the event, and that each guest is bound by them to the same extent as you are. Each attendee will be asked to confirm their agreement at check-in on the day of the event.

Age Requirement:

All attendees must be 18 years of age or older. Photo identification may be requested at check-in. Any attendee found to be under 18 will be denied boarding without refund.

Physical Demands and Fitness to Participate:
This is a walking-based event. Participation involves approximately 1-2 miles of walking over the course of the day, extended periods of standing, navigating city sidewalks, curbs, and stairs at certain stops, and exposure to outdoor winter weather conditions. Restroom facilities are available at scheduled stops only and available onboard the coach.

By purchasing a ticket, you certify that you are physically able to participate in the event as described, that you have no medical condition that would make participation unsafe, and that you will notify your Book Crawl Ambassador at the start of the event of any condition that may require assistance.

Accessibility and Accommodations:

We want this event to be workable for as many people as possible and we will engage in good faith to provide reasonable modifications where we can.

Please be aware that chartered motorcoaches provided by third-party transportation companies may not be wheelchair accessible, and that certain participating bookstores and venues are independently operated spaces whose accessibility features are outside our control.

If you require wheelchair access, mobility assistance, seating accommodations, or any other accessibility accommodation, please contact us at [email protected] by before you purchase so that we can assess what is possible and advise you before you commit. We encourage you to reach out before purchasing a ticket so that we can be honest with you about what the day involves.

Assumption of Risk:

You understand that participation in this event involves inherent risks, including but not limited to personal injury, illness, exposure to communicable disease, accident, and property damage or loss. These risks may arise from walking on public streets and sidewalks, weather conditions, motor vehicle travel, the acts or omissions of other attendees, and conditions at participating venues. You knowingly and voluntarily assume all such risks, whether known or unknown.

Release of Liability:

To the fullest extent permitted by New York law, you release and hold harmless Audiobook Walking Club of Long Island LLC, its members, managers, officers, employees, founders, organizers, volunteers, Book Crawl Ambassadors, independent contractors, agents, sponsors, participating bookstores and venues, and their respective successors and assigns (collectively, the "Released Parties") from any and all claims, demands, damages, losses, liabilities, costs, or expenses arising out of or relating to your participation in this event.

Nothing in this section limits liability for gross negligence, willful misconduct, or any liability that may not be released or limited under applicable law.

Indemnification

You agree to indemnify, defend, and hold harmless the Released Parties from any claims, damages, losses, or expenses, including reasonable attorneys' fees, arising from your own acts or omissions during the event, including any violation of these Terms.

Limitation of Liability

To the fullest extent permitted by law, the total aggregate liability of the Released Parties to you arising out of or relating to this event, under any theory of liability, shall not exceed the amount you actually paid for your ticket. The Released Parties shall not be liable for indirect, incidental, consequential, special, or punitive damages, or for lost profits, travel costs, lodging costs, or other expenses incurred in connection with attending.

Transportation

Transportation for this event is provided by Coachman Luxury Transport, an independent third-party charter company. Audiobook Walking Club of Long Island LLC does not own, operate, maintain, or control the vehicles and is not responsible for any injury, accident, delay, mechanical failure, or incident occurring during transportation.

All passengers are required by law to wear seatbelts at all times while the vehicle is in motion. You agree to wear your seatbelt and to comply with all instructions from the driver and your Book Crawl Ambassador.

Departure Times, Boarding, and No-Shows:

Buses depart from each pickup location and from each scheduled stop at the posted time. Please arrive at least thirty minutes before your scheduled departure.

Buses will not wait for late arrivals. If you miss your departure from the pickup location or fail to reboard at a scheduled stop, you forfeit your seat and any remaining portion of the event, and no refund or credit will be issued. Return transportation to your original pickup point is your own responsibility in that event.

Changes to the Itinerary

We reserve the right to modify the itinerary, including substituting, adding, removing, or reordering bookstores, venues, stops, activities, vendors, or Ambassadors, at any time and without notice, due to closures, capacity limits, traffic, street closures, weather, or other operational circumstances. Such changes do not entitle you to a refund or credit.

Alcohol

Audiobook Walking Club of Long Island LLC does not sell, serve, provide, or furnish alcohol at this event. Alcohol may be available for independent purchase by attendees at certain stops. You must be 21 or older to purchase or consume alcohol, and you accept full personal responsibility for your own consumption.

Onboard alcohol policy: Alcohol is permitted onboard for passengers 21 and over. Glass containers are prohibited. This policy is set by the transportation provider and is not ours to waive.

We reserve the right to deny boarding to, or remove from the event, any attendee who appears intoxicated or whose consumption creates a risk to themselves or others, without refund. The Released Parties are not responsible for the actions of any attendee under the influence of alcohol.

Personal Belongings

The Released Parties are not responsible for personal belongings that are lost, stolen, left behind, or damaged during the event, whether onboard the coach, at a venue, or in transit. Items left on the coach are subject to the transportation provider's own lost-and-found procedures.

Medical Emergencies:

In the event of a medical emergency, organizers will contact emergency services. You consent to emergency medical treatment as deemed necessary by qualified personnel. You are solely responsible for any medical costs incurred, and the Released Parties are not responsible for any such costs or for the quality of care provided.

Weather, Cancellation, and Force Majeure:

This is a rain or shine event. Ordinary winter weather, including rain, cold, and light snow, is not grounds for cancellation or refund.

If we must cancel or materially curtail the event due to circumstances beyond our reasonable control — including but not limited to severe weather, road or transit closures, government order, public health emergency, civil disturbance, labor action, utility failure, venue closure, or failure or unavailability of the transportation provider — ticket holders will be notified and issued a credit toward a future Audiobook Walking Club event. Credits are valid for 12 months from the date of issue and are non-transferable. No cash refunds will be issued.

Refunds and Ticket Transfers

All ticket sales are final and non-refundable.

Tickets are transferable to another person who meets the eligibility requirements in these Terms. To transfer a ticket, contact us at [email protected] at least [72] hours before the event so that we can update the registration. Transfers arranged privately without notifying us cannot be honored at check-in. Any transferee is bound by these Terms.

Tickets may not be resold for commercial purposes or above face value.

Purchase Protection

Optional Purchase Protection may be offered at checkout by a third-party provider through our ticketing platform. This product is not offered, underwritten, or administered by Audiobook Walking Club of Long Island LLC. We are not a party to that agreement and have no role in evaluating or paying claims. All questions and claims must be directed to the protection provider under its own terms.

Conduct

You agree to conduct yourself respectfully toward fellow attendees, bookstore owners and staff, venue staff, drivers, vendors, Book Crawl Ambassadors, and organizers. Harassment, discrimination, intoxication that disrupts the group, theft, or damage to any venue will not be tolerated.

We reserve the right to remove any attendee from the event at any time for disruptive, unsafe, or inappropriate behavior, without refund and at that attendee's own expense for return transportation.

Photography, Media, and Likeness Release

By attending this event, you grant Audiobook Walking Club of Long Island LLC and its designees a perpetual, irrevocable, worldwide, royalty-free, non-exclusive license to photograph, film, and record you, and to use, reproduce, edit, publish, and display your name, likeness, image, voice, and social media handle in any medium now known or later developed, for promotional, marketing, editorial, and archival purposes.

You acknowledge that no compensation is or will be owed to you, and you waive any right to inspect or approve any finished materials. This constitutes your written consent for purposes of New York Civil Rights Law sections 50 and 51.

If you prefer not to be photographed, please indicate this at registration.

Communications

By registering, you consent to receive event-related communications from us by email, phone, and SMS text message at the contact information you provide, including logistical updates, departure reminders, and day-of coordination messages. Message and data rates may apply. You may opt out of text messages at any time by replying STOP, though doing so may mean you miss time-sensitive day-of information.

Privacy

Information you provide at registration — including your name, email address, mobile number, and any dietary or accessibility information — is used to operate the event and communicate with you about Audiobook Walking Club programming. We do not sell attendee information.
Governing Law and Venue

These Terms are governed by the laws of the State of New York, without regard to its conflict of laws principles. Any dispute arising out of or relating to these Terms or the event shall be brought exclusively in the state or federal courts located in Nassau County, New York, and you consent to the personal jurisdiction of those courts.

Severability

If any provision of these Terms is held invalid, void, or unenforceable, that provision shall be modified to the minimum extent necessary to make it enforceable, or if it cannot be so modified, severed. All remaining provisions shall continue in full force and effect.

Entire Agreement

These Terms constitute the entire agreement between you and Audiobook Walking Club of Long Island LLC regarding this event and supersede any prior communications or representations. We may update these Terms before the event date; the version in effect at the time of your purchase governs your participation.
